BOARD OF DIRECTOR'S MEETING RETREAT OUTLINE

04/04/2004

TOM OF FINLAND FOUNDATION
BOARD RETREAT
SUNDAY, 4 APRIL 2004
SCOTT'S HOUSE

11:00 AM - 1:00 PM
THE BROADSHIT TALK.  For two hours, we let our minds wander in a broad way, as we discuss large issues:  What is the Foundation now?  What do we want it to be?  What is our relationship with the gay community?  Do we want that to change?  What about the leather community?  The larger, heterosexual, "mainstream"?  What do we do, if anything, about the art-vs-pornography issues which came up during the discussion about sponsors and our website?  What is the relationship of the Foundation to the Company?  To ToF Media?  To ToF Parties?  To other entities who might want to use the Tom of Finland name?  How do we distinguish the Foundation from the rest of Tom of Finland, and make the public realize we are a non-profit educational institution?  How do we make the Tom of Finland Foundation the best it can be?  You get the idea.

LUNCH!

1:45 - 3:45 PM
GRIPIN', SWIPIN', AND RE-PIPIN'.  For two hours, keeping the previous session's concerns and conclusions in mind, we start zeroing in on things.  This is the time to do your gripin' about what doesn't work, what should work better, what should be done, what should never be done, and so on.  This is also the time for swipin' (gratuitous or not): if someone drives you crazy with something he or she does, say it!  We should all strive to be utterly candid about everyone involved with the Foundation, whether they are present or not.  If your beef is with someone in the room, be polite but frank:  I hope we all respect each other enough by now that someone can say "I hate it when you do such-and-such!" and not have it degenerate either into a fistfight or eternal resentment.  (There's nothing which says we can't compliment people here, too!)  And along with all the gripin' and the swipin' we need to focus on the re-pipin': how do we fix what we're gripin' about?  How do we make the programs better, more efficient, less costly?  We should make every effort to come up with solutions as well as criticisms, and we should be prepared to do it in both general terms ("Get a better attitude, dude.") and specific ones ("Create a budget for every event at least two months in advance.")  While some areas will undoubtedly require more time than others, we should try to at least touch on every program, department, and area of the Foundation, even if it's to say "That one's working fine."  Among the things to discuss:

CONCLUSIONS.  For the final hour, keeping in mind what we've talked about since the morning, we focus on coming up with some realistic - and maybe a few wishful - goals for the Foundation.  I think we should make three sets of goals:  things we want to accomplish in the next year - the Foundation's 20th Anniversary Year - things we want to accomplish within two years, and things we want to see happen in five years, when the Foundation turns 25.  I'd like us to make a list of at least six concrete goals - and probably no more than 10 - for each time frame, write them down and make specific plans as to how to accomplish them.  (We probably won't have the time to make any actual plans during the retreat, but we should definitely make the lists.)  When we do our next retreat, in a year, let's look at the lists and see how successful we've been:  how many goals have we accomplished?  How many have we decided shouldn't have been goals, and have been dropped?  How many have we modified as reality set in?
